The notice for convening the AGM, has to be signed by the secretary of the society. The AGM of the society cannot be convened unless a notice of 14 days is given to the members. While computing the 14 days, the date on which the notice is issued and the date of the meeting shall be excluded.

For conducting the business at the AGM, the law stipulates that a minimum number of members need to be present, called the ‘quorum’ of the meeting. A minimum of two-thirds of the total number of members, subject to a maximum of 20, should be present to constitute the quorum for the AGM. Consequently, small housing societies sometimes find it difficult to ensure the quorum. For big housing societies, even a small proportion of the total members may add up to 20 members being present in the meeting and constitute a quorum.

Before the AGM begins or once it if over, all members present have to sign their attendance against their flat number.

Any suggestion depends upon the law under which the Society, Being a State subject, each State has its own norms.

It is usually 14 days clear notice shall be issued to call for AGM.  The quorum is 2/3rds or 3/5th (see terms and conditions of your society's bylaws) present the AGM.

Well analysed, opined and advised by experts, I concur.

14 clear days notice has to be issued by Secretary of the Society to all members.

Quorum of AGBM has to be spelt out in Bye-Laws adopted by the Society, which differs from society to society and quorum can be dispensed in certain circumstances .
