How to draft society letter if AGM is delayed

Please help me to draft letter to Registrar
as our society AGM is like to be held on 6th sept 2009,so that there cannot be any technical problem later on

it is very simple. Just provide him an information in simple language as no hard and fast procedure is mentioned. Better also intimate him agenda.
